AI in Trade Shows: Making Events Smarter Without Replacing People

Written by Priscila Zurla @studiostand

Recently, we attended the AI Evolution: New Applications of AI in the Events Industry webinar, organized by Eventex Awards. The session explored how artificial intelligence (AI) is transforming the events industry, especially trade shows, by making them more efficient, creative, and personalized. It gave us here at Studiostand plenty to think about and sparked new ideas for the future of exhibitions.

Let’s break down how AI could shape the future of trade shows in simple, practical ways.

How AI Can Make Things Easier

AI is a game-changer when it comes to saving time and resources. Picture this: instead of spending hours analyzing attendee feedback, AI could process massive amounts of data instantly. This would help event organizers quickly understand what worked, what didn’t, and what attendees are really interested in.

Another exciting possibility? AI avatars that can answer attendee questions on the spot or tools that track engagement during sessions using cameras. These ideas aren’t just futuristic—they show how AI could step in to handle repetitive tasks, leaving people free to focus on creativity and problem-solving.

What AI Could Do for Lead Generation and Follow-Up

Right now, lead generation at events can be a bit hit-or-miss. But imagine this: you’re at a trade show, and your booth has an AI-powered badge scanner. It not only collects attendee details but also tracks the conversations they’re having. After the event, it sends a personalized follow-up email that refers to the exact topics discussed. This kind of tailored follow-up could transform how businesses build relationships after an event.

Or picture an app that uses AI to suggest the best meeting times and locations based on your schedule and the venue layout. No more running across massive halls for back-to-back meetings! While these tools aren’t mainstream yet, they give us a glimpse of how AI could make networking and follow-up easier and more impactful.

The Balance Between AI and Humans

One big takeaway from the webinar was this: AI isn’t here to take our jobs. It’s here to make them better. For example, AI can help design booth concepts or draft marketing content, but it still takes human creativity to make those ideas stand out and feel authentic.

This balance is especially important when it comes to connecting with people. AI can help us understand audiences better by analyzing data, but it’s the human touch that makes those connections meaningful. That’s where companies like Studiostand shine—we combine innovative tools with a people-first approach to create memorable event experiences.

Challenges and Things to Watch For

Like any new technology, AI comes with its challenges. Processing data in real-time is complex, and ensuring data privacy is a must. Plus, not every AI solution is practical. For example, while AI might help sketch a quick booth design, turning that into a reality within budget still needs hands-on expertise.

Another thing to keep in mind: AI isn’t magic. It’s a tool, and how well it works depends on how we use it. Crafting the right prompts and setting realistic expectations are key to getting the most out of it.

The Future of AI in Events

Looking ahead, AI is poised to become an even bigger part of trade shows. Imagine tools that personalize content for attendees with unique needs, like creating presentations that are easier to read for people with dyslexia. Or apps that help planners create better schedules and more efficient layouts.

But even as AI evolves, the core of trade shows will remain the same: meeting people, sharing ideas, and building relationships. The technology is here to support those goals, not replace them.

Wrapping Up

AI has the potential to transform the trade show industry, making events smarter, more efficient, and more personalized. But at the end of the day, it’s the combination of AI and human creativity that will truly make events shine. At Studiostand, we’re excited to explore these possibilities and bring the best of both worlds to our clients.
